Official cars

The Department of Physics and Astronomy has two VW Passat station wagons at its disposal. The cars are listed under the following names in the Outlook calendar:

Internal users (staff at IFA/ISA)

Staff members book the service vehicle themselves in Outlook. Please include your mobile number in the calendar entry.

The car may be borrowed for a maximum of three consecutive days.

Service vehicles must not be used to pick up guests from the airport.

Students are not permitted to drive the cars unless they are employed by the department. Errands must be work-related. Contact the Head of Secretariat in case of doubt.

Students' use of official cars

As a general rule, students may NOT use university vehicles unless they are employed by the university. AU does not hold insurance coverage for students; therefore, vehicles may not be borrowed for study-related purposes.

The vehicle is covered by mandatory liability insurance, meaning that damage caused to the property or person of others is covered by the university; however, the student is not covered in the event of personal injury sustained by the student themselves.

If a student performs a task for the university, they are considered an employee within the meaning of the Workers' Compensation Act, regardless of whether a written agreement to that effect exists. Consequently, the student is covered by the Workers' Compensation Act in the event of an accident while performing the task—this includes transport in a university vehicle.

The above also applies if the student is a passenger in the university vehicle. The decisive factor is that the student is present to perform a work-related task. If, for example, the student is simply getting a ride home, this would not be covered by the insurance. Such use might be considered use of the vehicle for private purposes, which is not permitted.

Applicable to everyone

  • Car keys can be picked up from the hallway cabinet outside room 1520-120. IFA car keys are kept in the black key cabinet; the code for the cabinet can be obtained from your secretary.
  • It is important to remember to fill in the mileage log with details of your trip. Pay particular attention to ensuring the mileage figures align with the previous trip; if they do not match, skip a line in the log.
  • When returning the car, you must also hand in the key, fuel card, and any receipts (please write the license plate number on them). Place these items in a brown envelope and put it in Heidi Pedersen’s postal in-tray.

If driving abroad, the car requires insurance coverage, the cost of which is borne by the user. Please contact Heidi Pedersen.
